This Privacy Policy explains how Rent Metrics, LLC (“Rent Metrics,” “we,” “us” or “our”) collects, uses, shares and protects information in connection with RentMetrics, including the website at rentmetrics.ai and the RentMetrics application and related services (together, “RentMetrics” or the “Service”). Use of the Service is also governed by our Terms of Service.
1. Our Role
RentMetrics is an analytics service for property owners, operators and managers (our “clients”). When we process property records on behalf of a client, such as rent rolls and lease information that may include residents’ personal data, we act as a data processor / service provider to that client, who is the controller of that data. We process it to provide the contracted service, in accordance with the client’s instructions and our agreement with the client, including any Data Processing Agreement.
For information about the people who use RentMetrics on behalf of our clients (for example, account and contact details) and visitors to our website, Rent Metrics is responsible for that information as described in this policy.
2. Information We Collect
Information you provide
- Account information, such as name, business email address, company and role.
- Client data you upload, connect or send to us, such as rent rolls, financial statements, work orders and other property reports, including reports sent by email and data received from property management systems you authorize.
- Communications with us, such as support requests and feedback.
Resident personal data in client records
Client records may contain resident names and lease or occupancy details. RentMetrics does not collect or process resident Social Security numbers, dates of birth, payment-card or bank-account data, or background-screening data. We encourage clients to minimize personal data they send, for example by excluding resident names where they are not required.
Information collected automatically
- Log and device information, such as IP address, browser type and pages visited.
- Cookies needed to keep you signed in and secure your session, and analytics cookies that help us understand how the website is used.
Payment information
Subscription payments are processed by Stripe. We do not receive or store full payment card numbers.
3. How We Use Information
- To provide, operate, secure and support the Service, including generating analytics and reports for clients.
- To create and manage accounts, authenticate users and process payments.
- To communicate with you about the Service, including service, security and billing notices.
- To monitor, troubleshoot and improve the Service and detect and prevent misuse.
- To comply with law and enforce our agreements.
We process resident personal data only to deliver the Service under our clients’ instructions and our agreements with them.
4. Aggregated Data and AI
We use the information you provide and data generated by your use of RentMetrics to create aggregated or de-identified data and to develop and improve analytics, benchmarks and AI models. Aggregated Data does not identify you, any individual or a specific property, project or account, and we may use and share it for any lawful purpose, including in data products offered to third parties. We do not sell personal information. Resident personal information (such as names and contact details) is never used to train AI models.
5. How We Share Information
We do not sell personal information, and we do not share personal data with other organizations for their own purposes. We disclose information only:
- to subprocessors and service providers who help us operate the Service (such as hosting, database, authentication, email and payment providers), under agreements with appropriate safeguards and strictly to operate the Service;
- within your organization’s account, to users your organization has authorized;
- at your direction or with your consent;
- as required by law, or to protect the rights, property or safety of Rent Metrics, our clients or others; and
- in connection with a merger, acquisition or sale of assets, subject to this policy.
We maintain a current list of subprocessors, available to clients on request.
6. Data Subject Requests
If you are a resident whose information is contained in a client’s records, please contact the property owner or manager, who controls that data. We support our clients in responding to requests to access, correct or delete personal data within the Service, consistent with applicable law and our agreements with them. If you use RentMetrics or visit our website, you may contact us at privacy@rentmetrics.ai to make a request about your own information.
7. Retention and Disposal
We retain information for as long as needed to provide the Service and meet our legal and contractual obligations, and then securely dispose of it under our data retention and destruction standard. Client data is deleted after the end of the client’s contract, and copies in provider backups age out on the provider’s backup schedule.
8. Security
We treat personal data as confidential and protect it with safeguards that include encryption in transit and at rest, least-privilege access controls and separation of each client’s data. No method of transmission or storage is completely secure, but we work to protect information appropriately for its sensitivity.
9. Privacy Incidents
We detect, log and respond to privacy incidents, including unauthorized access to or disclosure of personal data, under our incident response plan. Where an incident affects client data, we notify affected clients and, where required, regulators and affected individuals within applicable timelines.
10. Children
The Service is intended for businesses and is not directed to children under 16. We do not knowingly collect personal information from children.
11. Changes to This Policy
We may update this policy from time to time. When we do, we will post the updated policy on this page and change the effective date above, and for material changes we will provide additional notice through the Service or by email.
